[HR] How to Setup Leave

The HR Leave process allows employees to submit leave requests and managers to review and approve or deny them. The system automatically sends email notifications to employees with the request status.


Before processing leave, you must set up leave codes, approval groups, and assign users to these groups.


1. Create a Schedule Leave Code

  1. Open HR Code Master (HR Programs folder).

  2. Set Code Type to C-Schedule (F4).

  3. Enter a unique Code and a short Description.

  4. Check the Leave Type box to make the code available for leave requests.

  5. Select a PR Leave Code (F4) to link payroll leave totals.

  6. Click Save.


2. Create an Approval Group

  1. Open HR Approval Groups (HR Programs folder).

  2. Enter a unique Approval Group number and Description.

  3. Select a Primary Approver (F4) and check Email Notification to alert the approver.

  4. Optionally, select a Secondary Approver and enable email notifications.

  5. Click Save.


3. Assign an Approval Group to a Resource

  1. Open HR Resource Master (HR Programs folder).

  2. Select the Resource # (F4).

  3. Click the Other Info tab and choose the Leave Approval Group (F4).

  4. Click Save.


4. Enable User Leave Requests

  1. Open VA User Profile (Viewpoint Administration module).

  2. Select the User Name (SQL login or Windows account) (F4).

  3. Assign the user to an HR Company (F4) and HR Resource # (F4).

  4. Click Save.
