[HR] How to Manually Assign Benefits

The HR Resource Benefits form is used to define and track employee and dependent benefits. Benefits are linked to benefit codes set up in the HR Benefit Codes form. You can add benefits individually or initialize them as a pre-defined group.


Steps to Add or Edit Benefits

  1. Open the Form:
    • From the HR module's Programs folder, open the HR Resource Benefits form.
  2. Select Resource:
    • In Resource #, press F4 and select the employee.
  3. Select Benefit:
    • In Benefit Code, press F4 and choose the benefit.
  4. Select Dependent:
    • In Dependent Seq #, press F4. Use 0 for the employee.


Info Tab Fields

  • Benefit ID #: Enter employee ID.
  • Smoker: Check if employee smokes.
  • Employer Cost of Benefit: Amount paid by employer (employee only).
  • Cafeteria Plan: Check if part of plan; enter employee-paid amount.
  • Beneficiaries: Enter primary and secondary names and relationship.
  • Important Date Information: Enter eligibility date (defaults to hire date if no restriction).
  • Reminder Date: Optional date for important actions.
  • Active?: Check if the benefit is active.
  • Effective/Expiration Date: When benefit starts/ends. Expiration enables Reinstate This Benefit? if needed.

Save the record after entering information.


Notes on Deductions and Earnings

  • Adding a benefit automatically sets up deductions, liabilities, and earnings.
  • Additional codes can be added manually but won’t update the HR Benefit Codes form.


ACA Coverage History

  • Use the ACA Coverage History tab to track coverage for IRS Form 1095-C reporting.
  • Activating a benefit with dates in Important Date Information creates a system-generated ACA record.
  • Entering a Series 2 code creates a record in ACA History on HR Resource Master.
  • Editing ACA Coverage History does not update the main Info tab.
