[HQ] How to Locate a Missing Batch

Steps

Open HQ Batch Control, use grid view to find batches in status 2, 3 or 4.

If a batch was created, but unable to be found, we can follow the steps below to locate it.

  1. Open the Batch Process Program in the module that the batch is missing from.
  2. Enter in the Month and hit F4 in the Batch # field. If the batch is not posted or in use, it should show up here.

If you are unable to locate it here, follow the steps below.


  1. Open HQ Batch Control.
  2. Enter in the Company, Month and Batch ID then click on the Grid tab. If you get a message that says "New records are not allowed" then the batch has been cleared.
  3. Click on column heading "Status". This will put all of the batches in order by Status. Scroll down to locate batches with a Status of 0-3.
  4. If the Status of the batch is 0, then it is open and can be processed or cleared. If the Status is 1-3 you can set the status to 0, then you will be able to see the batch when you return to the module/area you were processing it. To set → click on the batch in the Grid → select the Info tab → clear out the "In Use/Posted By:" field → click on the Status and change to 0.
  5. If the "In Use/Posted By" field is not empty, you will be unable to find the batch in the Batch Process. Clear this field and save the form.

  6. You should now be able to find the batch in the Batch Process. You can clear this batch by going to File → Clear Batch. You can also try to post the batch.
  7. You have now successfully located and cleared/posted batch.
