How to restrict/unrestrict batches, the effects of doing so, and how to prevent them
NOTE: SM INV batches often default as restricted, this is not due to anything on the Users' part.
What is a restricted batch?
A batch can be restricted at the time the batch is created in any module. When a batch is restricted, only the user who created the batch can access it for any purpose.
How can I restrict a batch?
Batches can be given a restricted status one at a time in the Batch Selection form by checking the box:
You can cause this box to default as checked for all modules using Viewpoint Administration VA User Profile, Info tab:
If you choose to set it up this way in VA User Profile, you should understand that all batches created by this user will default with a restricted status, including those created 'behind the scenes' such as Inventory IN Rollup, Payroll PR to AP Update, Service Management SM batches, Accounts Receivable AR Credit Taxes, etc.
If another user tries to access a batch that has been restricted, this message will appear:
How do I unrestrict the batch? What are the ramifications of restricting batches (doing any of the above)?
No one can access the restricted batch except the user who restricted it. Furthermore, no one except the user's login (and the viewpointcs login) can remove the restriction (in Headquarters HQ Batch Control). If you want to remove the restricted status, here are your options:
Grant access to the user (even if temporary) to HQ Batch Control. Ask them to remove the restriction
Obtain the password from the user and login as them to remove the restriction.
A System Administrator can change the user's password in SQL; this becomes particularly relevant if the user is no longer with the company.
A fully authorized user may log an e-mail request (needs to be in writing) to Application Support Dispatch. A support rep can log in and remove the restriction.
Someone inadvertently restricted a batch, how can I prevent this from happening?
1.) On the batch selection screen, place your cursor in the Restricted box (click once again to uncheck the box) and press F3 to access Field Properties.
2.) Click 'Show on Form' to remove the NULL setting. The now-empty box is a 'NO' indication.
Doing this is any module's Batch Selection form will affect all Batch Selection forms in all other modules.
3.) To hide this box for all users system wide, use the System Overrides tab. If you want this setting to apply only to a specific user, you will need to have them make the change on their own, using the User Overrides tab.
