[VA] Setting Up Data Security to Secure Employee Information

How to enable Data Security for securing bEmployee (payroll) data. 


Employee data access can be limited, by payroll group, to specific users utilizing the VA Data Security Setup and PR Groups forms. When data security is enabled, it will impact all companies in Vista.

Steps

In the VA Security Groups form, set up a new security group.

Choose 0-Data for the Group Type.

Do not add any users to the Users tab. It is a good idea to include "No Users" in the group name to help warn other people not to add users at a later time.


In the VA Data Security Setup form, choose bEmployee in the Datatype field.

Check the Secure Datatype box

Enter the security group from step 1 in the Default Security Group field.
 

In the VA Data Security Setup form, click on the Secure Tables tab.

Go through the list of tables and choose the ones you want to secure.

Use the Apply Security box to enable or disable security on each table.


NOTE: When you check the Apply Security box, the Secured box remains unchecked and the Not Synchronized box becomes checked. This indicates that a security change is pending for that table and will be committed when you run the VA View Generator in the following steps.

TIP: Keep in mind that enabling data security impacts the performance of the software, while form and report security does not. Therefore, to maximize system performance, only secure the tables that should not be accessible to all users.


Prior to regenerating views, it is a good idea to set up which users will have access to PR Group data.

In the PR Groups form on the Group Security tab, add the users who should have access to data tied to the employees assigned to that PR group.

PR Groups > Group Security needs to be set up for each Group and each PR Company

Back in VA Data Security Setup, click the Regenerate Views button to open the VA View Generator (you may also access the VA View Generator from the Programs folder.)

Click the Add Unsynchronized Views button. The "Views to Regenerate" window should fill with the tables that were selected in Step 3.

Click the Regenerate Views button. When the process completes, the employees' records have been secured.

NOTE: PR Groups > Group Security needs to be set up for each Group and each PR Company
