[VA] Copying Security with VA User Profile

Note: You can copy module, form, tab, report, attachment, and data security settings from one user to another.


Key Points

  • VA Security Administration must be enabled. You can only copy security for companies/modules you have permission to access.

  • Save the new user login before copying security.

  • Only permissions from companies your account can access will be copied.

  • You can preview copied permissions with the VA Copy Security Report.


Steps

  1. In VA User Profile, select the user that needs security.

  2. Click Copy Security → the VA Copy Security form opens.

  3. Enter the source user account in the Copy from Login Name field.

  4. (Optional) Click Preview to see which permissions will be added.

  5. Click OK to copy the permissions to the new user.

  6. If the destination user already has security settings, a warning will appear.

  • Options When Copying Security

    • Yes → Replace the user’s existing security.

      • Old access is removed.

      • Security groups are removed unless the source user is in them too.

      • Review and adjust the new setup if needed.

    • No → Add new security without removing existing access.

      • Only adds permissions the destination user doesn’t already have.

      • Skips permissions that are more restrictive than the current setup.

      • Example: Adding AP/AR access without changing existing module access.

    • Cancel → Exit without making any changes to security.
