The Licensing view in the above sample is enabled only for organizations with Vista deployed in the cloud and with the Named User License (NUL) license model. Those Vista environments on NUL licensing have the option of assigning a License Type to users in VA User Profile.
On Demand Usage:
- by default is set to ON
- To have this option turned off any user with a Full Authorization level can submit a support request
To remove a user from holding a Vista license, take one of the following actions below in VA User Profile
Note: all user accounts must have an email address assigned in VA User Profile in order to make changes to the user record. This can be a "dummy" email as long as it's in a valid format; e.g., no-reply@company.com or noemail2@viewpoint.com.
- Check the Deactivated box on the user account
- Delete the user using the trashcan icon
- Review the setup of your existing service accounts - Set the User Type to "User Application." This is a good option for service accounts that don't need to log into the Vista software, but need to be active.
Note: Examples of service accounts include but are not limited to - vcsautoimport, vcsNotifier, and vcsSSAS.
- Account formats with First name . last name . vcssupport (sample Joe.Smith.vcssupport) are Viewpoint employee accounts and do not take up a license. These are created when a viewpoint employee accesses your system. They can be deactivated or deleted if your internal policy requires this, but no other changes should be made to those accounts.
The Licensing numbers in VA User Profile reflect the following:
OFFICE
1) Office Licenses: The number of licenses you have contracted for (in the example above, this is 30). This number does not automatically update when new licenses are purchased.
2) In Use: How many users are set up in VA User Profile with an "Office" license type (344 in the example above).
Note: To verify currently logged-in users, you can run the VA License Usage by Day report (Viewpoint Administration > Reports) or view the Logged On Users form (Help > System > Logged On Users). Security access must be given to each of these in order to view the form/report.
PM
1) ## Assigned: The number of users set up with the "PM" License Type (in the example above, this is 126).
2) ## Contracted: The number of PM licenses you have contracted for (130 in the example above).

With the introduction of "On Demand" licensing, new reports were added to help manage license needs/usage. The VA User License Allocation report was introduced in version 2023 R2.08.
For all new reports, security access needs to be granted in order to view them in Vista.

VA User License Allocation - This report is designed to provide comprehensive user license allocation information. It presents a snapshot of the current allocation status. Note: This gives you a count of the users who are taking up a licenses in Vista. Released in version 2023 R2.08.
VA License Usage by Day - For each date within the date range that you specify, this drilldown report displays the greatest number of Vista licenses of each type in use concurrently during that day.
VA Unique Users by Module and Month - Report provides a grid, where the rows represent each module and the columns represent each month in the range provided by the report parameters.
VA Users by Module - Report provides a grid, where the rows represent active Users, and the columns represent available modules. Each grid cell displays the number of times the given user has opened a form in the given module.
VA Maximum License Usage - Counts the number of times access to Viewpoint has been requested but there were not enough licenses available to accommodate the request. It also lists the time of the request and requestor.
