Vista Licensing Overview
The Licensing view is available only for Vista environments deployed in the cloud with the Named User License (NUL) model. Users in NUL environments can have a License Type assigned in VA User Profile.
On-Demand Usage
Default: ON
To turn it off, any user with Full Authorization can submit a support request.
Removing a User from a Vista License
All user accounts must have a valid email address in VA User Profile (can be a dummy email, e.g., no-reply@company.com). Then, you can:
Check the Deactivated box on the user account.
Delete the user using the trashcan icon.
For service accounts that don’t need login access, set User Type to User Application (examples: vcsautoimport, vcsNotifier, vcsSSAS).
Note: Accounts formatted as First.Last.vcssupport (e.g., Joe.Smith.vcssupport) are Viewpoint employee accounts. They do not consume a license. They can be deactivated or deleted per internal policy.
License Numbers in VA User Profile
Office Licenses
Office Licenses: Total contracted licenses (e.g., 30). This does not update automatically.
In Use: Number of users assigned an Office license (e.g., 344).
PM Licenses
Assigned: Number of users with a PM License Type (e.g., 126).
Contracted: Total PM licenses purchased (e.g., 130).
To see currently logged-in users, use VA License Usage by Day (Viewpoint Administration > Reports) or Logged On Users (Help > System > Logged On Users). Security access is required.
License Reporting
Vista includes reports to help manage license usage, introduced with On-Demand licensing (version 2023 R2.08):
VA User License Allocation – Snapshot of current user license assignments.
VA License Usage by Day – Shows the highest number of licenses used per day within a date range.
VA Unique Users by Module and Month – Grid of modules vs. months to track unique users.
VA Users by Module – Grid showing how often each user accessed each module.
VA Maximum License Usage – Tracks instances when license requests exceeded available licenses, including request time and requester.
Access to these reports must be granted in VA Report Security to view them in Vista.
