How Do I Add/Create a New SQL User in Vista?

You can add a new SQL-authenticated user to Vista directly from the VA User Profile form. If the user doesn't already exist in SQL, the system will automatically create the SQL user during the user profile setup.

Note: this process only applies to SQL-authenticated users, not Windows-authenticated users.
 

Steps

In VA User Profile (Viewpoint Administration > Programs):

  1. Type in the new User Name (only if the user doesn't exist in SQL yet).
    • Avoid entering an email address into the User Name field. Users that want to log in via SSO will need to be migrated later. That migration process changes the username to include the email address.
    • Notes about using F4 in the User Name field:
      • Viewpoint Users displays the list of users who are already set up as SQL Server users and exist in Vista. Select this option if you want to find and edit a user who has already been set up. 
      • System Users displays the list of users who already have access to the database at the SQL level, either by having been set up as SQL Server users or as members of a Windows domain group. These users do not exist in Vista. Select this option if you want to quickly create a new Vista user who already has access to the database.
  2. Enter Full Name, Email, and Phone # (phone not required).
  3. Set any Form & Report Options, Permissions, and/or Menu Options you wish.
  4. Make sure the "User Type" in the top right is set to Vista (if the account needs to log into the Vista software), or User Application if it does not (this is more typical for service accounts and does not take up a named user license (NUL) in Vista).
  5. Save the record.
  • A message will appear saying the SQL user doesn't exist and Viewpoint will create one. Click close.

  • After closing the window, another form will prompt you for the user's password.

    Note: The VA Password form is a separate form, which you need to grant access to it in VA Form Security.
  • If applicable, add the security groups for the user from the Security Groups tab. If your company does not use Security Groups, you will still need to assign security in VA Form/Report/Attachment Type Security forms.

You have successfully added a new Vista user!
