Viewpoint HR Management - Creating New Class in Training Class Dashboard

Steps needed to create a new class [Viewpoint HR Management//Training - HR Management]

To create a new class, click the New Class button at the top of the page (Employee Tools > Training Class Dashboard). If you would like to, you can choose a course for the class. Choosing a course will automatically populate the new class with the course's title, associated checklist, employee groups that are eligible, and training and skill codes. All of these aspects are editable after a class is created. By default, the only required field to create a class is a title. If Require Course Template when creating a class is enabled, you must also select an associated course (Admin > Portal Settings > Training > General Configuration). 
 

Click Continue when you have filled out the applicable information. Your new class will now populate in the grid below, and you will be immediately taken to the full Class Detail module, where you can edit the information for that class.

You will always be able to rename your class. If there is a course associated with the class, it will be designated here. You cannot edit the course associated with a class.

Training Tasks: clicking the Training Tasks button will take you to the checklist associated with this course. Here your instructor will be able to fill out the required information related to this class.

View Roster: clicking the View Roster button will download a copy of the roster for this class. Here you will see the instructor, location of the class, the class date and time, as well as a full list of all employees registered to the class, if they attended, and their signature. The standard downloaded report will appear similar to the example below.


Currently Registered Attendees: here you will be able to add and remove attendees, mark them as present or absent, and record their signature if present.

Employee Groups Eligible For This Class: here you can add or remove employee groups eligible for this class, as desired. If the Enable Training Class Registration portal setting is turned on (Admin > Portal Settings > Training > General Configuration), checking the Open for Registration checkbox will allow members of the selected employee groups to register to the class themselves via Employee Tools > Register for Training 

Training And Skill Codes Associated With This Class: here you will be able to add or remove training and skill codes for this class. When the class is finalized, all present attendees for the class will have their training records updated with the training and skill codes for this class. The available Training and Skill codes to choose from are pulled from HR Code Master in Vista.


Upload Document: here you will be able to browse or drag-and-drop a file to attach to this class.

Submit: clicking the Submit button will notify the Training Class Admin that the class is ready to finalize. In order to submit a class requires a date and start and stop times, any associated Training Tasks to be completed, at least one attendee, for all attendees to be marked as present or absent, and at least one associated training or skill code. After clicking Submit, you will need to confirm you are ready to submit.

After submitting, a Training Class Admin will see the Finalize button in place of the Submission button, as below. When the Admin clicks finalize the codes added to the class will be written to the Vista HR Resource Skills or Vista HR Resource Training for the employees who attended the class. Any attachments added to the class will also attach to the record in Vista.

Click Save and Close to save your changes and return to the Training Class Dashboard grid.


NOTE:
The Employee Tools Training Class Dashboard in the Portal pushes back to Vista actual training or skill codes. These get added to in Vista, respectively, HR Resource Training (the Training) or HR Resource Skills (the Skill Codes) with attachments (if any, for example, certificates).  The information pushed back to Vista does not currently update or interface with HR Training Classes in Vista. The Portal does not support a non-employee user as an instructor.
