[JB] How Stored Materials Appear on an Invoice

  • Stored materials only show in “Previous Amount” after installation.

    • Before installation, they are tracked as stored materials.

    • Once installed, they move to “Work Completed This Billing.”

  • Purchasing vs Installing:

    • Purchase: Increases stored materials.

    • Install: Decreases stored materials, increases “Work in Place.”

  • Billing Impact:

    • When materials are installed, the invoice must show the installed amount as a current bill, even if the net effect is zero.

    • GL records the income when purchased, not installed.

  • AIA Form (G703) Columns:

    • Column D: Previous completed work. Do not include previously stored materials.

    • Column E: Work completed this period, including materials now installed from prior stored materials.

    • Column F: Materials presently stored. Recalculate each period.

      • Includes newly stored materials and previously stored materials not yet installed.

      • Only move value from F → E when materials are installed.
