[PR] Resolving Accrual/Usage Leave Entry Date Warning

This error occurs when Accrual or Usage Leave entries are dated on or before the employee’s Reset Date in the PR Employee Leave record. Leave entries must be dated at least one day after the applicable Reset Date to post successfully.

 

Note: For weekly payrolls with a weekly leave reset, the reset date must be one day prior to the first day of the work week.

 

Steps to Correct the Error


1. Identify the Affected Leave Sequence

Review the Batch Error List for the Sequence Number (Seq #) associated with the error.

Open the related batch in PR Leave Entry.

If the batch was generated from PR Auto Leave Accrual/Usage, close that form and open the batch directly in PR Leave Entry to make edits.

 

2. Compare the Reset Date and Activity Date

In the PR Employee Leave record, locate the Last Reset Date for the affected leave type.

Compare it to the Activity Date on the leave entry.

Example:

Last Reset Date: 12/31/25

Activity Date: 12/30/25

In this example, the Activity Date is before the Reset Date and must be updated.

 

3. Update the Activity Date

Change the Activity Date in the leave entry to at least one day after the Last Reset Date.

Using the example above, update the Activity Date to 01/01/16 or later.

Save your changes and reprocess the batch.

 

4. Verify All Reset Dates

Review all three Last Reset Dates in the employee’s record:

  • Fixed Accrual Reset Date
  • Usage Reset Date
  • Available Balance Reset Date

Even if you’re only posting Fixed Accruals, a more recent Available Balance Reset Date can still trigger the same error if not properly sequenced.

 

Summary

To prevent posting errors:

  • Always ensure leave entry dates occur after the reset date.
  • Review all reset dates when troubleshooting accrual or usage issues.
  • Maintain consistent reset scheduling for accurate leave tracking.
