[IM] Using the Template Detail Tab in IM Template

The Template Detail tab defines how data is imported for each record type specified on the Record Types tab. It allows you to set column locations, defaults, and reformatting rules for imported data.

  • If multiple record types exist, a Record Type column appears to help sort and organize the data.

  • Nullable cells indicate whether a field can be left blank. Checked = optional; unchecked = required.


Steps to Configure Template Details:

  1. Set default values and options:

    • Use User Default Value, Overwrite Import Value, or Use Viewpoint Default to specify default data.

    • Enter a Cross Reference if needed. For incompatible data, additional identifiers may be required.

  2. Specify the record’s location in the import file:

    • Delimited: use the Record Column field.

    • Fixed Width: use Beginning Position and Ending Position fields.

    • XML: use the XML Tag field.

  3. Format data:

    • Use Format Info to define any data reformatting rules.

  4. Direct import options (if applicable):

    • Check Update Column to update the system with imported data.

    • Update Key indicates fields used to identify existing records.

    • Behavior depends on import type:

      • Insert and Update / Update Only: existing records are updated.

      • Insert Only: existing records are skipped.

  5. Prompt on Import (optional):

    • Check Prompt on Import to have the system request a value during import.

    • Useful for fields where defaults change per import (e.g., Company, Vendor Group).

    • Input values override the text file, but can be overridden by template defaults.

  6. Save the template after configuring all records.
