[EM] Auto Usage

EM Auto Usage Posting (for equipment where actual hours aren’t tracked)

Purpose:

• Used for equipment where exact usage hours can’t be measured, e.g., trailers, lights, signage, small tools.

• Usage can be calculated at the category level or individual equipment level.

• Requires an equipment usage template set up beforehand.

• Can run as often as needed.

Setup:

• Rules Table & Template: Determines how the system calculates usage and charges revenue.

  • Hourly, daily, weekly, or monthly billing.

  • Minimum and maximum charges per billing period.

  • Start day/time and hours per day.

  • Assigned at category or equipment level and linked to a job template for Auto Usage.

Running Auto Usage Posting:

1. Select the date and time period for the usage to post.

2. Choose a template, all templates, or all categories.

3. Optionally, exclude locations/dates (holidays, rain) and decide whether to bill for weekends.

4. If entries already exist for that period, you can delete and replace duplicates.

5. Click Process Usage and post the batch.

6. If nothing posts, check the template to ensure a job is assigned.

How Usage Is Calculated:

• Based on equipment transfers (EM Location Transfers or EM Mass Location Transfer).

• If Use Est Out Date is checked, usage is calculated from transfer-in to estimated transfer-out.

• Templates determine:

  • Job phase to charge

  • Min/max charges per billing period

  • Start date basis (calendar or transfer-in date)

  • Hours per day

  • Rules table to use

Limits:

• If calculated usage exceeds the maximum in the template, the amount stops at the max, but the revenue rate remains unchanged.

Rules Table:

• Determines the revenue code to use.

• Hour Basis: charges based on Job To Date or Billing Period.

• Hours/Time Unit in EM Revenue Codes converts hours to the revenue code’s unit.

• Monthly revenue codes ignore hours and always post 1 unit per month.

Revenue Rates:

• Use rates from the template (if assigned to the job) or standard rates from EM Revenue Rates by Equipment.

Other Notes:

• Auto Usage generates revenue transactions just like manual entries in EM Usage Posting.

• Transactions can be edited in EM Usage Posting before posting the batch.
