If a Viewpoint environment is consuming excessive server space or experiencing performance issues, a common contributing factor is the accumulation of attachments. Attachments can be managed effectively by following the steps below.
Manage Attachment Storage in Viewpoint
1. Change the Handling of Deleted Attachments
In Viewpoint, navigate to Document Management and open DM Attachment Options.
Clear the Archive Deleted Attachments checkbox.
Click OK to save the change.
Note: With this setting disabled, any attachments that are deleted will be permanently removed and will no longer be archived.
2. Adjust Retention Periods for Attachment Types
In Viewpoint, navigate to Document Management and open DM Attachment Types.
Use the Grid View to update retention settings for multiple attachment types at once.
Alternatively, retention periods can be adjusted for individual attachment types using the Info View.
3. Purge Expired Attachments
In Viewpoint, navigate to Document Management and open DM Expired Documents Purge.
Search for a specific attachment type or select all types.
Click Purge to remove expired attachments.
4. Permanently Remove Deleted Attachments
In Viewpoint, navigate to Document Management and open DM Attachment Index Search.
Enable the option to include deleted items and refine the search criteria as needed.
Select the attachments to be removed and click Manage Selected Attachments.
On the Delete tab, click Delete to permanently remove the selected attachments.
Following these steps will help reduce storage usage and improve system performance by ensuring attachments are properly managed and removed when no longer needed.
