[DM] Add a default attachment type to a form

Attachment Type Security is the main way to protect sensitive attachments. For it to work properly, every attachment containing sensitive information must have an attachment type assigned.

When creating a new batch in DM Scan Batch Viewer, you can set an attachment type that will automatically apply to attachments used in AP or PO Entry.


Why Attachment Types Matter

Attachment types help you search and organize documents, and they are essential for securing sensitive information. To ensure consistent security, set default attachment types for commonly used forms—especially those that store sensitive data, such as:

  • Invoices in AP Transaction Entry or AP Unapproved Invoice Entry

  • Audit reports in HQBC

  • PR Check Stubs in PR Pay Sequence Control

  • Various PM document types


How to Set Default Attachment Types (for future attachments)

  1. Open DM Attachment Index Search and run a search to find attachments without an attachment type.

  2. Identify form names that frequently appear without an attachment type.

  3. From the Main Menu, right-click the form (for example, PR Employee Pay Seq Control) and select Form Properties.

    • Note: You must have “Form Admin” rights.

  4. In Form Properties, go to the System Wide tab.

  5. Use F4 to select a System Default Attachment Type.

    • This will apply to all future attachments created by that form.


How to Update Existing Attachments

  1. In DM Attachment Index Search, search for all attachments.

  2. Use the Filter Bar to limit results to the form you want to update.

  3. Select all relevant records (click the first, then Shift-click the last).

  4. Click Manage Selected Attachments and go to the Attachment Types tab.

  5. Choose Add Attachment Type, select the appropriate type, and Apply to All.


This ensures both existing and future attachments are properly secured.
