[AR] Credit Notes

This form is used to track conversations and information relating to a customer’s account (e.g. disputes, overdue payments, etc.). Each time contact is made with a customer, it can be recorded in this program, along with the dates of contact, follow-up dates, the invoice to which each entry relates (if applicable), a brief summary of the conversation that occurred, and any notes that pertain to each situation. Each entry will also record the user who added the note and the creation date. A checkbox is used to indicate matters that have been resolved.


The Customer Notes tab allows for viewing, adding, or editing additional notes/information about the customer. Because this tab updates the ARCM (Customer Master) table, notes can be accessed from here or from the AR Customers form.


Note: Information entered in this program is not used in any of the AR programs; however, the information can be reviewed in the AR Customer Notes report and can be used for other reporting needs.


  1. Go to AR > Programs > AR Credit Notes
  2. Enter the customer (from AR Customers) to whom these credit notes apply.
  3. Use the new sequence icon on the top toolbar (looks like a sheet of paper) to create a new record and the sequence number is auto-assigned once you save the record.
  4. In the ARCo field enter the AR company to which this credit note applies. Company must share the same Customer Master as the active company (i.e. must have the same AR Customers group designation in HQ Company Setup). Entry in this field controls which credit notes the specified company can access. If you enter a company here, the credit notes will be accessible for the specified company only. If left blank, the credit note will be accessible to all companies sharing the same Customer Master as the active company.
  5. Enter the date you initially contacted this customer regarding this matter.
  6. In the contact field, enter the person contacted, up to 30 characters.
  7. Enter the date that the follow-up call or contact was (or will be) made.
  8. Enter the invoice (must be a valid AR invoice number) this entry applies.
  9. In the Summary field enter a brief summary of the conversation that occurred, up to 30 characters.
  10. In the Credit Notes field enter any miscellaneous notes about this item. The space allowance is virtually unlimited.
