Entering a New Employee

1. Navigate to Payroll > Maintenance > Employees

2. Click enter to view the entire list of current employees.

3. Find the next new code to give the new employee.

4. Click the green "new" button.

5. Enter the next code in sequence.

6. Enter the name of the employee

7. Enter the employee's hire date and social security number.

8. Choose the PR department. This will determine what will default in when entering timecards.

9. Choose the worker compensation code. This will also determine what will default when entering timecards.

10. Status will be active.

11. Choose the pay type: Hourly or Salary.

12. Frequency is how often the employee will be getting paid.

13. In the hourly rate field, the dollar amount will be the amount paid per hour for an hourly employee and the amount paid weekly for a salary employee.

14. Choose the federal filing status and exemptions.

15. Choose the resident state.

16. Click OK. 

17. There are numerous fields available to enter information; however, we will focus on what Silvertrek considers to be the most vital.

18. On the far left hand side of the screen, there are tabs which we will be going through. The first one is "main." 

19. Enter the title of the employee

Click F4 to view the options.

20. If you are using pay groups, enter in a pay level.

21. Navigate to the personal info tab - directly below the "main" tab.

22. A few critical things that should be entered in are a phone number, mailing address, date of birth and an email address. If the employee will be logging into Spectrum, then they must have an operator code entered as well.

23. If you must enter driver's license info, that will be done on this tab.

24. Click Save and navigate to the Pay Rates tab - directly below the personal info tab.

25. If the employee is enrolled in apprentice program, check the box and enter the ID# and Wage %.

26. The information on this tab will pull from what was originally entered as the employee's rate.

27. Navigate to the tax setup tab. This is located directly below the pay rates tab.

28. Only fill out the "perm work state" field if that state is different than the resident state. 

For Example:

29. Navigate to the Auto Deposit tab - this is located directly below the tax setup tab.

30. This is where dollar amounts can be allocated to certain accounts. Percentages can be separated out. If that employee wishes to do so then enter the bank account code, account type, ABA#, and the rate.

31. Navigate to the Deductions/Add-ons tab

32. This tab is where you set up anything that affects employee compensation that is not a tax. Examples: Health Insurance, 401K, cell phone reimbursements. These are extra things that cost the company because you're working for them.

33. Nagivate to the "time Off Bank" tab.

34. Choose a code for vacation or for sick, not for both.

35. Holiday pay is for employees who have paid holidays.

36. Navigate to the Pay group rates tab. 

37. We only set this up if you are using pay groups.

38. The last thing to do for entering an employee is to enter any certifications they may have. To do this, navigate to the Human resources tab > Training/Certifications.

39. Click new and click F4 in the training field to choose the appropriate certification.

40. Enter the expiration date and any other information you may have. 

41. Click save. The employee has been successfully entered.
